This is to inform you
that during the process of checking of your bills for transporting our
materials from our factory to various destinations, we surprise to note that
the following bills were submitted twice
for payment :

It is also surprised to
note that at the time of submitting of these bills at first time
acknowledgement of original L/R has been submitted whereas at the 2nd
time the duplicate of the same L/R acknowledgement has been obtained and
submitted on duplicate L/R. It is objectionable to submit the bills on a
duplicate consignment note but while checking your freight bills we came to
know that it is a regular phenomena to submit the bills with duplicate
acknowledgement. The matter has been shown and taken up with your Mumbai representative
several times but no action are taken. However, in view of the above, you are
requested to kindly check up your records and verify whether any other
duplicate bills are not submitted with us for payment.
Kindly also send your
total bill register with us as well as details of payment received by you and
TDS deducted for the year 2012-13 and 2013-14 (upto May’13) for reconciliation
and settlement of account at the earliest.
