Apology letter to customer for late delivery in word format

Sample Template Example of Apology Letter with Proper Justification / Professional Explanation For Delay in Delivery / Shipment / Service in Word Format

Dear Sir

As explained in previous mails too that things were out of our control for loading the container on board. There is no one we can blame, neither the container despatching nor our services,

However we had intimated your team to release container in the morning time on Monday but it left in the afternoon around 3 pm.

We expected the container to reach port on Monday afternoon so that we can plan clearance but it reached at 9 pm the same night leaving us only 1 days for clearance wherein the customs staff comes in at 12 pm around which leaves us half a day, in such scenario it is not easy to clear an export container in half day.

Infact we had made all arrangements for Monday evening at the port for clearance and things would have been through. Subsequently the congestion issue made it worse but still we managed to get the container till the gate/yard but the liners refused accepting it as we were late by few hours. Still we had an option by paying extra fees to liner without even getting it to your notice, on our cost, and they could have accepted but the vessel was overbooked.

We could have planned on a Saturday pickup from your factory but again an issue of excise officer unavailability on Saturday and Sunday which we already discussed with your team.

There was no stone left unturned but believe us, things were really out of our control,

In the past also we have never brought anything to your notice and delivered results but this time we tried our best as usual but it did not fall in our favor,

I am really sorry for the inconvenience and looking to sort this out.

Thanks & Regards
Neetu Singh
